Quotes That Convert: How Winning Travel Agencies Send Quotations
Structure, pricing anchors, response speed, and the follow-up cadence that turn travel enquiries into confirmed trips — with scripts you can copy.
Most travel quotes lose the deal before the customer reads the price. They arrive late, as a wall of WhatsApp text or a clumsy Word attachment, with no options and no reason to decide now. The customer forwards three quotes to their spouse, yours is the hardest to read, and the agency that sent a clean PDF in twenty minutes wins.
Speed beats polish (but you can have both)
Travel buyers enquire with 3–5 agents at once. Data across sales industries is consistent: the first substantive response wins disproportionately. A good quote in 30 minutes beats a perfect quote tomorrow. The fix is not typing faster — it's templates: your Bali, Dubai, Kashmir and Europe packages 80% pre-built, so a real quote is 10 minutes of tailoring, not an hour of assembly.
The anatomy of a quote that converts
- Their trip, named. "Rahul & family — 6N Bali, 22–28 Dec" as the title. A quote that reads like it was written for them beats a generic package sheet.
- Day-by-day itinerary. Short lines with the highlight of each day. This is what gets forwarded to the family group and sells the trip while you sleep.
- Two or three options, anchored. Give a "Comfort" and a "Premium" version. The premium option makes the middle one look sensible (anchoring), and options convert better than take-it-or-leave-it numbers.
- Transparent price block. Per-person and total, what's included/excluded in plain lists, GST and TCS as visible labelled lines. Surprises at invoice time kill repeat business.
- Validity and urgency that's real. "Fares and rooms held till Friday" — airlines and hotels genuinely reprice, so say so. Fake countdowns smell; real ones convert.
- One clear next step. "Reply YES and we'll block it with a ₹20,000 advance." Don't end a quote with silence.
The follow-up cadence
Most agencies follow up once, then let the lead rot. Buyers aren't rejecting you — they're busy. A polite, useful cadence:
- Day 0: quote sent + one-line WhatsApp: "Sent your Bali plan — the Day 3 Nusa Penida day is the one everyone loves."
- Day 2: value nudge, not a nag: "Flights on your dates moved up ₹1,400 since Tuesday — want me to re-lock?"
- Day 5: the direct ask: "Shall I hold it? A small advance freezes today's rates."
- Day 10: the graceful close: "I'll assume dates shifted — ping me when you're ready and I'll re-price in minutes." (This message revives a surprising number of "dead" leads.)
The discipline is the hard part — which is why reminders should come from your CRM, not your memory.
Measure the two numbers that matter
Time-to-first-quote and quote-to-confirmation rate. If the first is over a few hours, fix templates and assignment. If the second is under ~20%, your quotes or follow-up cadence need the surgery above — the leads are fine.
