TourBrain in 15 Minutes: From First Lead to First GST Invoice

A guided walkthrough of TourBrain for a new agency: capture a lead, build an AI itinerary, send a branded quote, confirm the trip, and raise a GST-compliant invoice.

This is the tour we give every new agency, in article form. Fifteen minutes, one enquiry taken end-to-end: lead → itinerary → quote → confirmed trip → GST invoice. Open a free account in another tab and do it with a real enquiry.

Minute 0–2: capture the lead

New enquiry from Instagram: "Bali, 2 adults, around Diwali, budget ~₹2L". Hit + Lead, type the name and phone, pick the destination and dates, tag the source (instagram — this powers your ROI report later), and assign it to an agent. The lead lands in the pipeline as New with a follow-up date attached. Nothing about this enquiry can now be forgotten — it has an owner and a deadline.

Minute 2–6: build the itinerary with AI

On the lead, hit Generate Itinerary. Tell it "6 nights Bali for a couple, mid-range hotels, mix of beaches and temples, Nusa Penida day trip". You get a day-by-day draft to work from. Edit like a document: swap Day 4's temple for the swing park, bump the hotel category. The AI does the typing; you do the judgement.

Minute 6–9: price it and send the quote

Convert the itinerary to a quotation: add your package price, applicable GST appears as a labelled line, and — because Bali is international — the TCS line calculates itself against the customer's LRS usage. Hit send: the customer gets a clean, branded PDF with your logo, the day-by-day plan, inclusions/exclusions and validity. Once you have package templates for your regular destinations, a repeat quote starts from the template instead of a blank page.

Minute 9–11: follow up without remembering to

The quote sits on the lead with its status visible. If the customer goes quiet, the follow-up reminder fires and the lead shows up in the agent's action list — and in the owner's daily digest email. Nobody keeps this in their head anymore.

Minute 11–14: confirm the trip

Customer says yes. One click converts the quotation to a trip: travellers, dates and pricing carry over; payment milestones (advance / balance-before-travel) get set; vouchers and supplier details attach to the trip as they're booked. The pre-departure checklist tracks what's pending.

Minute 14–15: raise the GST invoice

From the trip, Create Invoice: line items, GST split (CGST/SGST vs IGST resolved from place of supply), TCS carried from the quote, sequential invoice number — a compliant PDF your CA will approve of, without touching Excel. Record the advance against it and the balance shows on your outstanding-payments report until it's collected.

What you just replaced

One notebook entry, one WhatsApp forward, one Word file, one Excel row, one Tally entry and three human reminders — replaced by one flow where each step feeds the next. Multiply by every enquiry in a season and that's the case for a CRM in one paragraph.

Beyond holidays: visas and corporate clients

The same records carry on into the two desks most agencies still run on spreadsheets. A visa file can start from the lead, with the destination's checklist already in place, on the visa and passport desk (Growth and above). Company clients run as accounts with their GSTINs, travel policies and approvers on the corporate travel (TMC) desk (Professional and above). The full list is on the features page.
