The 5 Metrics Every Travel Agency Owner Should Watch

Enquiry-to-booking conversion, time-to-first-quote, revenue per booking, source ROI, and outstanding payments — what healthy numbers look like and how to fix bad ones.

Most owners judge the month by the bank balance — a lagging, mood-swinging number that tells you what already happened. Five simple metrics tell you what's about to happen, and each one points at a specific fix when it goes wrong.

1. Enquiry → booking conversion

What: of every 100 enquiries, how many become confirmed trips? Healthy: small agencies with tight follow-up run 15–30%; below 10% means leads are leaking, not that "the leads are bad". Fix: assignment (every lead has one owner), follow-up cadence, faster quotes — in that order.

2. Time to first quote

What: hours from enquiry to a real quotation in the customer's hands. Healthy: same business day; the best run under an hour on templated packages. Why it's the highest-leverage number: buyers enquire with several agents and the first credible quote frames the whole comparison. Fix: itinerary templates + a rule that no enquiry waits past lunch.

3. Average revenue per booking (and margin)

What: revenue ÷ bookings, tracked next to gross margin per booking. Why: ten ₹40k Goa bookings and one ₹4L Europe booking are the same revenue with utterly different workloads. Knowing your number tells you whether to chase volume or ticket size — and which destinations quietly earn nothing after supplier costs. Fix: push premium options in quotes (anchoring), review destination margins quarterly.

4. Lead source ROI

What: bookings and margin per source — Instagram, referrals, walk-ins, portals, that ₹15k/month ad spend. The classic surprise: referrals convert 3–5× better than paid leads and cost nothing — yet get zero systematic attention. Fix: tag every lead's source at capture (non-negotiable), then move money and effort to what actually books.

5. Outstanding payments

What: money owed to you across confirmed trips, with ageing. Why: agencies rarely die of no bookings — they die of cash timing: supplier paid in full, customer balance "after we're back". Healthy: balances collected before travel, always. Fix: payment milestones on every trip and automatic reminders — awkward chasing handled by software instead of your relationship.

The Monday-morning habit

These five, glanced at weekly, take four minutes and change decisions: who needs coaching (conversion by agent), which package needs a template (slow quotes), which ad spend to kill (source ROI), which customer gets a reminder today (ageing). That's the whole discipline — no MBA required.

A travel agency CRM like TourBrain computes all five from work your team already does — pipeline reports, per-agent conversion, source ROI, payment ageing. Start 14-day trial and see your real numbers this week.
